Simola Hillclimb (the Knysna Speed Festival) is the responsible party for this form under the Protection of Personal Information Act, 4 of 2013 (POPIA).
What we collect
We collect the partner’s company name, contact person, email, phone number, property details (including listing URLs, descriptions, occupancy, addresses, photo-folder links, and the net rate you quote for race week), and the consents you tick on the form.
Why we collect it
We use this information only to list, market, and administer accommodation in the official Simola Hillclimb 2027 ticket booking process, and to contact you about that listing.
Who processes it
- Simola Hillclimb administrators who review submissions.
- Cloudflare, which hosts the form and provides bot protection (Turnstile).
- Google, which stores submission rows in a spreadsheet used by the event team. That processing may take place outside South Africa.
- A transactional email provider, which sends the administrator a notice that a form was submitted and a short confirmation to you. Those messages contain a summary, not a copy of every field.
We do not sell this information. Listing URLs you paste are reviewed by people; we do not automatically scrape third-party booking sites.
How long we keep it
We keep submissions for as long as needed to administer the 2027 event, and then delete or archive them. The working copy lives in the event’s Google Sheet.
Your rights
You may ask for access to, or correction of, the information you submitted, or withdraw consent for further marketing use, by emailing the contact address shown on the onboarding form. You also have the right to lodge a complaint with the Information Regulator.
Security
The public form cannot write to the spreadsheet directly. Submissions go through a server-side check, including a Cloudflare bot challenge. Please do not put passwords or identity-document numbers in the notes field.
